How do I book an appointment?

Booking an appointment is simple:

  1. Find a specialist through the search page at rezva.pro/find
  2. Visit their profile and choose a service
  3. Pick an available date and time slot
  4. Enter your name, email, and phone number
  5. Confirm your booking

You'll receive a confirmation email immediately. You don't need an account to book, but creating one lets you manage your bookings, view history, and save favorites.

How do I cancel my booking as a client?

To cancel a booking:

  1. Log in to your account
  2. Go to My Bookings
  3. Find the booking and click Cancel
  4. Provide a reason (optional)

Please note: Each specialist sets their own cancellation policy. Cancelling too late (e.g., less than 24 hours before) may affect your trust score, which specialists can see when you make future bookings.

If you need to change the time instead, use the "Request Reschedule" option.

Do I need an account to book?

No, you don't need an account to make a booking. You can book as a guest by providing your name, email, and phone number.

However, creating a free account gives you these benefits:

  • View and manage all your bookings in one place
  • Cancel or request reschedules easily
  • Save favorite specialists for quick rebooking
  • Message specialists directly
  • View your booking history
  • Receive personalized reminders
How do I book a group class?

Booking a group class is slightly different from a regular appointment — the calendar only shows dates that have a class scheduled.

  1. Go to the specialist's booking page
  2. Select the group class service — the widget heading changes to "Book a Class"
  3. The calendar highlights only dates with scheduled classes — tap one
  4. Choose a class time — each button shows available spots (green = plenty, amber = filling up, red = last spots)
  5. Select the number of spots you want to reserve (e.g. 2 if you're bringing a friend). The specialist may have set a per-booking limit.
  6. The total price updates automatically: spots × price per spot
  7. Enter your contact details and confirm

You will receive an email confirmation with the details of your booking.

Cancelling a group class booking:
You can cancel your booking the same way as any other appointment (subject to the specialist's cancellation policy). Your spots will be released for other clients.

How do I get started with REZVA?

Getting started with REZVA is easy:

  1. Register at the specialist registration page
  2. Fill in your business profile — display name, trade (nails, hair, barber, etc.), bio, and location
  3. Add the services you offer with prices and durations
  4. Set your working hours for each day of the week
  5. Start accepting bookings!

Your public profile will be live immediately at rezva.pro/s/your-slug. Share this link with your clients so they can book online.

What are the available subscription plans?

REZVA offers four subscription plans:

Free (€0/month) — 50 bookings/month, unlimited clients. Includes a public booking page at rezva.pro/s/your-name, mobile app access, email notifications, and full service and availability management.

Basic (€15.99/month or €159.99/year) — Unlimited bookings and clients. Adds SMS reminders, deposits, client reviews, CRM, in-app messaging, and a free subdomain (yourname.rezva.pro).

Pro (€39.99/month or €399.99/year) — Everything in Basic plus Google Calendar sync, analytics dashboard, priority support, and the ability to remove REZVA branding from your booking page.

Salon (€99.99/month or €999.99/year) — Everything in Pro plus team management, staff roles, resource allocation, revenue tracking, and a custom domain for your booking page.

All paid plans can be billed monthly or yearly. Yearly billing saves 2 months (10× the monthly price). You can upgrade or downgrade at any time from Dashboard → Billing.

Prices shown in EUR. USD, GBP, CAD, and AUD are also available — your local currency is shown automatically based on your location.

How do I add my services?

To add services:

  1. Go to Dashboard → Services
  2. Click "Add New Service"
  3. Enter the service name, description, duration (in minutes), and price
  4. Set the price type: Fixed, From (starting price), or Variable
  5. Optionally add buffer time before/after the service
  6. Optionally require a deposit
  7. Save the service

Group classes: Set "Class capacity" to 2 or more to turn a service into a group class. You can also set a "Max spots per booking" to limit how many spots a single client can reserve at once (e.g. 2 if clients should not bring more than one friend).

After saving a group class service, a "Class Schedule" section appears at the bottom of the edit page:

  • Weekly tab: Add recurring class times by day of week and time (e.g. every Monday at 08:00). These repeat automatically every week.
  • One-off tab: Add a specific session for a particular date (e.g. a special workshop on 14 March at 10:00). These appear once and can include notes.

Clients will only see calendar dates that have a class scheduled. Dates with no classes are greyed out automatically.

You can organize services into categories by creating categories first, then assigning services to them. Services can be reordered by drag-and-drop.

How do I set my working hours?

To set your availability:

  1. Go to Dashboard → Availability
  2. For each day of the week, toggle it on/off and set start/end times
  3. Click Save

You can also add breaks within your working hours (e.g., lunch break) and set time-off for specific dates when you won't be available (vacations, holidays, etc.).

Your available booking slots are automatically calculated based on your working hours, breaks, existing bookings, and service durations.

How do I get help or contact support?

REZVA provides several ways to get help.

AI Support Chat

Click the Help or Support button available throughout the dashboard and website. This opens an AI-powered support chat that can:

  • Answer questions about your account, bookings, billing, and features
  • Search the knowledge base for relevant articles
  • Walk you through step-by-step solutions

The AI assistant knows your plan features, current pricing, and all REZVA functionality. It responds instantly, 24/7.

Knowledge Base

Browse articles on common topics in the Help section. You can search by keyword or browse by category. The same knowledge base powers the AI chat.

Support Tickets

If the AI chat cannot resolve your issue, it will offer to escalate to a human support agent by creating a support ticket. You can also request a ticket at any point during the chat.

Support tickets are reviewed by the REZVA team. You will receive a reply by email. You can view all your open and closed tickets from the Help section.

📅 Bookings

How does the booking system work?

When a client books an appointment through your profile:

  1. You receive a notification (email, SMS if enabled, and in-app)
  2. If auto-confirm is on, the booking is confirmed instantly
  3. If auto-confirm is off, you need to manually confirm or decline
  4. The client receives a confirmation email with booking details
  5. Both you and the client get a reminder before the appointment

You can also create bookings manually from your dashboard for walk-in clients or phone bookings.

How do I cancel or reschedule a booking?

As a specialist, you can cancel or reschedule from Dashboard → Bookings:

  • Click on the booking → Change status to Cancelled (with a reason)
  • Or click Reschedule to propose a new date/time

As a client, go to My Bookings:

  • Click Cancel to cancel (respect the specialist's cancellation policy)
  • Click Request Reschedule to ask the specialist to move the appointment

Note: Late cancellations (within the cancellation window) may affect the client's trust score.

What are deposits and how do they work?

Deposits help reduce no-shows. As a specialist, you can require a deposit when clients book.

Setting up deposits

  1. Go to Dashboard → Deposits → Settings
  2. Enable deposits and set the amount (fixed amount or percentage of the service price)
  3. Set a payment deadline — how many hours the client has to pay before the booking is auto-cancelled
  4. Save

Adding payment methods

Clients need to know where to send the deposit. Go to Dashboard → Deposits → Payment Methods and add your accepted methods:

  • Bank transfer (IBAN)
  • Revolut
  • PayPal
  • Cash on arrival
  • Any other method with instructions

You can add multiple payment methods. Clients will see all options and choose one when confirming their deposit.

How the deposit flow works

  1. Client books — they see the deposit requirement and your payment details
  2. Client sends the deposit via their chosen method
  3. Client marks the deposit as "sent" in their account and optionally uploads a receipt photo
  4. You receive a notification and confirm receipt from Dashboard → Deposits
  5. Booking is confirmed once you approve

Waiving a deposit

You can waive the deposit requirement for a specific booking — for example, for a loyal client or a special case. Open the booking in your dashboard and use the Waive Deposit option.

Deposit disputes

If a client claims to have sent a deposit but you have not received it (or vice versa), either party can open a dispute. The REZVA support team will review the evidence (including any uploaded receipts) and resolve the dispute.

To open a dispute: go to the deposit entry in Dashboard → Deposits and click Open Dispute.

Deposit eligibility

Deposits are available on Pro and Salon plans. You must also complete full profile verification (email, phone, and identity) before enabling deposits.

How do I configure my booking settings?

You can fine-tune how clients book with you from Dashboard → Settings → Booking Settings.

Instant booking vs. pending approval

  • Instant booking ON — Bookings are confirmed automatically the moment a client completes the process. Best for most specialists.
  • Instant booking OFF — New bookings arrive as pending and require your manual approval. You will be notified and have a set time to respond.

Pending timeout (when instant booking is off): choose what happens if you do not respond in time —

  • Auto-confirm — Booking is confirmed automatically after the timeout
  • Auto-cancel — Booking is cancelled automatically after the timeout
  • Keep pending — Booking stays pending until you manually act

Timeout options: 6, 12, 24, 48, or 72 hours.

Booking buffer

Set a buffer time between appointments (e.g., 15 minutes) to give yourself time to clean up, take notes, or prepare for the next client. Clients cannot book slots that overlap with this buffer.

Cancellation window

Set how many hours before the appointment clients can cancel for free. After this window closes, late cancellations are flagged and affect the client's trust score.

Default: 24 hours. Options: 2, 4, 6, 12, 24, or 48 hours.

How do group class bookings work?

Group class bookings allow multiple clients to reserve spots in a scheduled class.

Setting up your class schedule:
After creating a group service (capacity ≥ 2), go to Dashboard → Services → Edit service. Scroll to the "Class Schedule" section at the bottom:

  • Weekly schedule: Add recurring class times by day of week (e.g. every Monday and Wednesday at 08:00). These repeat automatically.
  • One-off sessions: Add a specific date and time for a special class or workshop. Can include notes (e.g. "Beginner-friendly intro session").

Clients can only book on dates that have a class. The calendar automatically highlights available dates and greys out the rest.

Per-booking spot limit: Set "Max spots per booking" to prevent a single client from taking too many spots (e.g. max 2 per booking even if the class has 15 spots total).

For specialists:

  • Each class time shows spot availability (e.g. 7/15 filled)
  • To cancel a single session and notify all booked clients, use the "Cancel session" option in the One-off tab
  • Cancelling notifies every affected client automatically

For clients:

  • When booking a group service, the calendar shows only dates with classes
  • Select a class time — each button shows how many spots are left (colour-coded: green/amber/red)
  • Choose the number of spots to reserve (subject to the per-booking limit)
  • Total price updates automatically: spots × price per spot
  • One confirmation email covers all reserved spots

💳 Billing & Subscriptions

How do I upgrade or downgrade my plan?

To change your subscription plan:

  1. Go to Dashboard → Billing → Subscription
  2. You'll see all available plans with features
  3. Click "Change Plan" on the plan you want
  4. If upgrading, the change takes effect immediately and you're charged the prorated difference
  5. If downgrading, the change takes effect at the end of your current billing period

You can also switch between monthly and yearly billing from the same page.

How do I manage my payment methods?

To manage payment methods for your subscription:

  1. Go to Dashboard → Billing → Payment Methods
  2. Add a credit or debit card through the secure Stripe interface
  3. Set a default payment method
  4. Delete old payment methods you no longer use

Note: These are payment methods for YOUR subscription to REZVA. For deposit payment methods that your clients see (bank transfer, Revolut, etc.), go to Dashboard → Deposits → Settings.

What are SMS credits and how do they work?

SMS credits allow you to send text message reminders and notifications to your clients.

How it works:

  1. Go to Dashboard → Billing → SMS Credits
  2. Purchase a credit package
  3. SMS prices vary by country (e.g., Bulgaria is cheaper than the US)
  4. Each SMS sent deducts from your balance
  5. You can enable/disable SMS notifications in your notification preferences

SMS reminders significantly reduce no-shows — clients who receive SMS reminders are much more likely to show up for their appointments.

What is the Founding Program?

The REZVA Founding Program is a limited offer for the first 100 specialists who join the platform.

Benefits:

  • Pro tier: 12 months free, then price locked forever
  • Salon tier: 6 months free, then price locked forever
  • Founding member badge on your profile
  • Your price never increases, even if we raise prices later
  • Your locked price is permanent — no matter how many times you change plans, it is always waiting when you return to your founding tier

The program is available in: US, CA, GB, AU, and BG.

Once 100 spots are filled, the program closes permanently.

How do I edit my specialist profile?

To edit your public profile:

  1. Go to Dashboard → Profile
  2. Update your display name, bio, contact info, and location
  3. Upload a profile photo and cover image
  4. Add your social links (Instagram, Facebook, website)
  5. Click Save

Branding customization:

  • Pro and Salon: Remove REZVA branding and add your own logo, favicon, and color scheme
  • Salon only: Set up a fully custom domain (e.g., bookings.yoursalon.com)

All tiers get a free subdomain at yourname.rezva.pro (available after activating Basic or higher).

Tip: Click "View Public Profile" in the sidebar to see how your profile looks to clients.

How do I get verified?

REZVA offers three verification levels. Each one adds a badge to your profile and builds trust with clients. Verification is available on Pro and Salon tiers.

Go to Dashboard → Verification to start.

Step 1: Email Verification

Verify your email address with a 6-digit code sent to your inbox. This is quick and required before enabling deposits or phone verification.

Step 2: Phone Verification

Verify your phone number by receiving a code via SMS. You must have a valid phone number on your profile. International numbers are supported.

Note: SMS codes use 1 SMS credit per send.

Step 3: Identity Verification

Upload a government-issued ID document and a selfie for manual review by the REZVA team.

Accepted documents:

  • National ID card (front and back)
  • Passport (photo page)
  • Driver's licence (front and back)

What happens after you submit:

  • The REZVA admin team reviews your submission, typically within 1–2 business days
  • You will receive an email notification when approved or if changes are needed
  • If rejected, you will see the reason in your dashboard and can resubmit with corrected documents

Verification badges

Once verified, badges appear on your public profile:

  • Email badge — shown after step 1
  • Phone badge — shown after step 2
  • Identity badge — shown after step 3 is approved

Badges signal professionalism and are shown prominently on your profile to clients browsing specialists.

How do I manage breaks and time off?

Go to Dashboard → Availability to manage breaks and time off.

Breaks (recurring daily)

Breaks block a specific time window within your working hours on the days they apply — for example, a 13:00–14:00 lunch break on weekdays.

To add a break:

  1. In the Availability section, find the Breaks panel
  2. Click Add Break
  3. Set the days it applies and the start/end time
  4. Save — clients cannot book slots that overlap with the break

Time Off (one-time blocks)

Time off blocks are used for specific dates — vacations, personal days, public holidays, or anything else you know you will not be available.

To add time off:

  1. In the Availability section, find the Time Off panel
  2. Click Add Time Off
  3. Choose the date (or date range) and optionally a time window
  4. Optionally add a label (e.g., "Holiday", "Training")
  5. Save — no bookings can be made for the blocked period

Vacation Mode

If you need to stop taking all bookings temporarily, use Vacation Mode instead. Go to Dashboard → Profile and toggle Vacation Mode on. Your profile remains visible but new bookings are disabled. Toggle off when you return.

How it affects booking slots

All of the following are factored into your available slots:

  • Working hours
  • Recurring breaks
  • Time off blocks
  • Existing confirmed bookings
  • Booking buffer time
How do I set up a custom domain?

The custom domain feature is available on the Salon tier. It allows you to host your booking page at your own domain (e.g., bookings.yoursalon.com) instead of rezva.pro.

Setup:

  1. Go to Dashboard → Domains
  2. Search for an available domain name
  3. Purchase it through our integrated registrar (DNS is configured automatically)
  4. Or connect an existing domain you already own
  5. Your booking page will be accessible at your custom domain with full SSL support

With a custom domain, REZVA branding is completely hidden — your clients see only your brand.

Note: Free, Basic, and Pro specialists get a free subdomain at yourname.rezva.pro. The full custom domain feature is exclusive to the Salon tier.

How does the CRM (Client Management) work?

REZVA includes a built-in CRM system accessible from Dashboard → Clients. Available on Basic, Pro, and Salon tiers.

Features:

  • Automatic client profiles created from bookings
  • View each client's visit history and total spending
  • Add internal notes visible only to you
  • Track client preferences, allergies, and formulas
  • Upload client photos (before/after work)
  • VIP status marking for important clients
  • Trust score based on booking behavior

All plans with CRM have unlimited client records. Clients are created automatically when they make a booking — no manual import needed.

How do I use the Analytics dashboard?

The Analytics section gives you a full picture of your business performance. Go to Dashboard → Analytics.

What's included

  • Overview — Key metrics at a glance: total bookings, revenue, new clients, and profile views for the selected period.
  • Revenue — Breakdown of income by service and time period.
  • Bookings — Charts showing booking volume over time, filtered by status (confirmed, completed, cancelled).
  • Clients — New vs. returning client ratios, top clients by booking count, and growth over time.
  • Services — Which services are booked most, generate the most revenue, and take the most time.
  • Profile Views — How many people visit your public profile and from which sources.

Date filters

Filter all analytics by: Last 7 days, Last 30 days, Last 3 months, Last year, or a custom date range.

Exporting data

Export your analytics to Excel (XLSX) using the Export button. Useful for reporting, tax preparation, or sharing with an accountant.

Salon analytics

On the Salon plan, the analytics section includes a breakdown per team member — useful for tracking individual staff performance and revenue contribution.

How do I use the messaging system?

REZVA has a built-in messaging system for communication between specialists and clients.

As a specialist:

  • Go to Dashboard → Messages
  • View all conversations with clients
  • Send messages and receive real-time notifications
  • Start conversations with existing clients

As a client:

  • Go to Messages from the navigation bar
  • Message any specialist you've interacted with

Messages are real-time and both parties receive notifications for new messages.

How does Google Calendar Sync work?

Calendar Sync (Pro and Salon tiers) connects your REZVA bookings with Google Calendar.

Setup:

  1. Go to Dashboard → Calendar Sync
  2. Click "Connect Google Calendar"
  3. Authorize REZVA to access your calendar
  4. Select which calendar to sync with
  5. Choose sync options (two-way or one-way)

Once connected:

  • New REZVA bookings automatically appear in your Google Calendar
  • Google Calendar events can block REZVA time slots (two-way sync)
  • Cancellations are synced automatically
How do reviews work for specialists?

Reviews help build trust with potential clients and improve your visibility in search results.

How clients leave reviews

After a completed booking, REZVA automatically sends a review request email to the client approximately 2 hours after the appointment end time. If no review is submitted, a single reminder is sent after 3 days.

Review links expire after 14 days. Clients can also leave reviews from their booking history on the website or mobile app.

Viewing your reviews

Go to Dashboard → Reviews to see all reviews. Each review shows:

  • Star rating (1–5)
  • Written feedback
  • Date of visit
  • Service name

Replying to reviews

You can reply to any review. Replies are publicly visible on your profile. Use replies to:

  • Thank clients for positive feedback
  • Professionally address concerns in negative reviews

To reply: open the review in Dashboard → Reviews and click Reply.

How ratings are calculated

Your overall rating is the average of all verified reviews. Only reviews from completed bookings count — not cancelled or pending ones.

Reviews and trust score

Reviews factor into your trust score, which affects your visibility in search results. Consistently high ratings and a low cancellation rate improve your trust score.

What you cannot do

  • You cannot delete client reviews
  • To report abuse or fake reviews, contact REZVA support at [email protected]
How does the referral program work?

The REZVA referral program rewards you for inviting other beauty specialists to the platform.

How it works:

  1. Go to Dashboard → Referrals to find your unique referral link or code
  2. Share it with beauty specialists who aren't on REZVA yet
  3. When they sign up using your code: both of you get +7 bonus days immediately
  4. When the referred specialist activates a paid plan within 90 days: both of you get an additional +30 bonus days

Total potential reward: +37 bonus days per successful referral (for both you and the person you referred).

The referral program is available to all specialists on any tier. There is no limit to how many specialists you can refer.

How do I organize my services into categories?

Service categories help you group related services together, making your profile easier to navigate for clients.

Creating a category

  1. Go to Dashboard → Services
  2. Click the Categories tab or Manage Categories
  3. Click Add Category
  4. Enter a category name (e.g., "Haircuts", "Nail Art", "Treatments")
  5. Optionally set a position to control display order
  6. Save

Assigning services to a category

When creating or editing a service, select a category from the Category dropdown. Services without a category are listed in a general group.

Reordering

Both categories and services within categories can be reordered. The order you set is reflected on your public profile and booking widget.

Tips

  • Keep category names short and clear — clients see them as tabs or headings
  • Group services by type (e.g., "Cuts", "Colour", "Treatments") rather than by price or duration
  • You can have services without a category if your list is short
How does salon team management work?

The Salon plan includes team management features for salons, studios, and multi-specialist businesses.

Setting up your salon

  1. Go to Dashboard → Salon
  2. Create your salon profile (name, logo, description)
  3. Invite team members by email — they must have REZVA accounts

Roles and permissions

Role Permissions
Owner Full control: settings, billing, remove members, view all revenue
Manager Invite staff, reassign bookings, view team revenue and analytics
Staff View own bookings and schedule only

Inviting team members

  1. Go to Dashboard → Salon → Team
  2. Click Invite Member
  3. Enter their email and select a role
  4. They receive an email invite and accept to join

Members can be removed or have their role changed at any time by the Owner or Manager.

Resources (rooms, chairs, equipment)

Resources represent physical spaces or equipment that can only be used by one specialist at a time — such as treatment rooms, styling chairs, or massage tables.

To set up resources:

  1. Go to Dashboard → Salon → Resources
  2. Click Add Resource and name it (e.g., "Room 1", "Chair A")
  3. Assign resources to services — when a service is booked, REZVA automatically assigns an available resource and prevents double-booking

This ensures two specialists cannot use the same room or chair at the same time.

Revenue tracking

The salon dashboard shows revenue broken down per team member, making it easy to track individual performance and commissions.

How clients book

Clients visiting your salon page see all team members and can book with a specific specialist or with "any available" specialist. The salon shows combined team availability.

What is the trust score?

The trust score helps specialists identify reliable clients:

  • Each client starts with 100 points
  • Completed bookings: +2 points
  • Late cancellation (within cancellation window): -10 points
  • No-show: -40 points
  • Dispute won: +40 points restored

Badges:

  • Green (90+ points): Very reliable
  • Yellow (70+ points): Generally reliable
  • Orange (40+ points): Some issues
  • Red (below 40): High risk (shadow-banned from new bookings)

Clients can recover by completing 5 consecutive bookings without issues.

Branded QR Code for Your Booking Page

What is the Branded QR Code?

Every REZVA specialist on the Basic plan or above gets a personalized branded QR code that links directly to their public booking page.

The QR code features the REZVA logo in the center and uses REZVA's signature purple color, making it immediately recognizable.

Where to find it

Go to Dashboard → Edit Profile — your QR code is displayed in the right sidebar, below your booking link.

Download options

  • PNG — best for digital use: Instagram stories, WhatsApp Business, websites, email signatures
  • SVG — best for print: business cards, salon window stickers, flyers, banners

How the link works

The QR code encodes a permanent link (rezva.pro/go/...) that never changes — even if you update your username, switch to a subdomain, or connect a custom domain. Printed QR codes will always redirect visitors to your current booking page automatically.

Plan requirement

Branded QR codes are available on the Basic, Pro, and Salon plans. Upgrade from your Billing page to unlock this feature.
